Overview
Partner Management in iDempiere governs the full Business Partner lifecycle: setting up Business Partner Groups, Greetings, and Payment Terms, creating the Business Partner record with location and contact detail, and validating it before it links to an Organization.

1. Business Partner Group, Greeting & Payment Term Setup
- Business Partner Group defines default accounting parameters that populate automatically on every Business Partner assigned to it.
- Greeting maintains the salutations used on Business Partner correspondence and printed documents.
- Payment Term maintains the standard payment methods and due-date rules applied to customers and vendors.
2. Business Partner Creation & Detail Capture
- Business Partner window defines any party the store transacts with – Customers, Vendors, Employees, and Sales Representatives.
- A Business Partner Group must be assigned to every new record before it can be used in transactions.
- Location, address, and Contact tabs capture shipping, billing, and communication detail for the partner.
3. Business Partner Validation
- The system checks mandatory Business Partner, location, and contact fields before the record is treated as usable.
- Incomplete or invalid records are routed back to the Business Partner Admin for correction before proceeding.
- Only validated Business Partners can be linked to an Organization and used in downstream documents.
4. Organization Linking & Dunning
- A validated Business Partner is linked to the Organization it transacts with, scoping it to the correct legal entity or store.
- Dunning defines the timing and frequency of dunning notices generated for customers holding open, overdue invoices.
5. Revenue Recognition
- Revenue Recognition settings on the Business Partner or product control how income is deferred and recognized over time.
- This keeps reported revenue aligned with delivery or service completion rather than invoice date alone.
6. Request & Response Management
- Request records a service, query, or complaint raised for a Business Partner and tracks it through to resolution.
- Resolving a Request and sending a mail response keeps partner communication documented and auditable.
7. Expense Reporting & Invoice Generation
- Expense Report captures reimbursable or billable costs incurred by an Employee or Vendor Business Partner.
- Expenses (not reimbursed) and Expenses (to be invoiced) list outstanding expense lines awaiting payment or billing.
- Approved expense lines generate an AP Invoice for reimbursement or a Sales Invoice for customer billing.
