PO Info Setup<\/strong> means configuring the essential details and rules required to create, manage, and process Purchase Orders (PO)<\/strong> in the system.<\/p>\n\n\n\n

      Pre-Requisite Activities<\/strong><\/h2>\n\n\n\n

      • Set up Vendor Master and Product Master<\/li>\n\n\n\n
      • Define standard PO templates and document formats<\/li>\n\n\n\n
      • Configure SMTP settings for sending PO mails<\/li>\n\n\n\n
      • Set default purchase return handling process<\/li>\n\n\n\n
      • Allocate email roles and recipients for PO communication<\/li>\n<\/ul>\n\n\n\n

        Business Rules<\/strong><\/h2>\n\n\n\n

        • Validation of Negative Stock must be based on POS and Back Office control flags<\/li>\n\n\n\n
        • Auto PO Import Location must point to a valid and active path\/location<\/li>\n\n\n\n
        • PO Email Message should contain clear and professional communication<\/li>\n\n\n\n
        • Remarks must reflect return justification when used for vendor returns<\/li>\n\n\n\n
        • Only authorized roles can modify PO email settings<\/li>\n\n\n\n
        • CC mail addresses must be valid and periodically reviewed<\/li>\n\n\n\n
        • Email delivery logs should be auditable<\/li>\n\n\n\n
        • Any change to PO Info Setup must be logged and restricted<\/li>\n<\/ul>\n\n\n\n

          Step 1 : <\/strong>Select \u2018Branch<\/strong>\u2019 in Menu Branch Configuration -> Branch<\/strong> or Search Branch<\/strong> in Lookup.<\/p>\n\n\n\n

          • PO Email Message<\/strong> – Enter Email Message for PO Email<\/li>\n\n\n\n
          • Need Alert When PO Expired<\/strong> – If Check Box enable when choose PO in GRN shows PO Expired based on Date Promised in PO<\/li>\n\n\n\n
          • Stock Take Data Export Location<\/strong> – Enter the File Path of Stock take export location <\/li>\n\n\n\n
          • Stock Take Data Import Location<\/strong> – Enter the File Path of Stock take import location <\/li>\n\n\n\n
          • File Export Location<\/strong> – Enter the File Path of IBT export location <\/li>\n\n\n\n
          • File Import Location<\/strong> – Enter the File Path of IBT import location <\/li>\n\n\n\n
          • Auto Replenish PO Export Location<\/strong> – Enter the File Path of Auto PO export location <\/li>\n\n\n\n
          • Auto Replenish PO Import Location<\/strong> – Enter the File Path of Auto PO import location<\/li>\n\n\n\n

            Step 4 : <\/strong>Configure the Negative Qty Validation for Back Office and POS<\/p>\n\n\n\n

            • Validate Back Office Negative Qty<\/strong> – If Check Box enable negative qty products not allow for all Back office transactions, If Unchecked all products allow to all Back office transactions<\/li>\n\n\n\n
