A GR Return<\/strong> in Odoo Purchase is the process of returning goods that have already been received through a Goods Receipt (GR)<\/strong> and billed using a GR Bill<\/strong>. This process is used to reverse items due to damage, excess quantity, or any other return reason. A GR Return can only be initiated after the GR Bill is fully completed<\/strong>.<\/p>\n\n\n\n

Before Initiating the GR Return Process<\/strong><\/h2>\n\n\n\n

Before creating a GR Return, confirm and approve the Purchase Order (PO)<\/strong>. Click Receive Products<\/strong> to create the GR<\/strong>. Fill in the required fields and click Validate<\/strong> to finalize the GR. Click Create GR Bill<\/strong>, complete the necessary fields, and click Validate<\/strong> to finish the GR Bill.<\/p>\n\n\n\n

Starting the GR Return Process<\/h2>\n\n\n\n

To access the Goods Receipt details, from the GR Bill<\/strong> screen, click on Purchases<\/strong> to open all purchase-related documents. Then, click on Receipts<\/strong> in the Purchase Order (PO) to view all GR entries related to that PO.<\/p>\n\n\n\n

On the GR screen<\/strong>, click the Return<\/strong> button. A Reverse Transfer<\/strong> pop-up will appear showing the product and quantity details from the original GR.<\/p>\n\n\n\n

In the Reverse Transfer<\/strong> pop-up, If multiple products are listed, remove the ones you don\u2019t want to return. Enter the quantity<\/strong> to be returned. Choose the return location<\/strong> where the items will be sent. Select a Reason for Return<\/strong> from the dropdown (this is mandatory). If no reason is selected, the system will display a validation \u201cInvalid fields:<\/strong> Reasons for Return\u201d. Click Return<\/strong> to continue with the process.<\/p>\n\n\n\n

GR Return Screen<\/h2>\n\n\n\n

After clicking Return<\/strong>, the system will redirect you to the GR Return<\/strong> screen. A return document number<\/strong> (e.g., CHNSF\/OUT\/00522) is automatically generated. The delivery address<\/strong> is auto-filled. Select the appropriate Operation Type<\/strong> based on the return method. Choose the Source Location<\/strong> of the product.<\/p>\n\n\n\n

Product availability<\/strong> updates automatically based on the selected source location and entered return quantity. You can modify the Scheduled Date<\/strong> if needed. The Source Document<\/strong> field shows the corresponding GR Document number.<\/p>\n\n\n\n

The Reason for Return<\/strong> field displays the selected reason from the Reverse Transfer pop-up. This field is system-generated, read-only, and cannot be modified by the user. <\/em>Demand<\/strong> and Quantity<\/strong> fields reflect the values entered earlier. The Lot number<\/strong> is automatically filled in from the original GR for accurate traceability.<\/p>\n\n\n\n

Finalizing the GR Return<\/strong><\/h2>\n\n\n\n

Click Validate<\/strong> to complete the return process. Once validated, the Available Lot<\/strong> field will display the returned lot number. After completion, the returned quantity will be reduced from the onhand quantity. The product is now successfully returned and recorded in the system.<\/p>\n\n\n\n
