How to Manage Automatic Reordering Rule in Odoo18

The steps below guide you through the process of automating your replenishment cycle. This workflow covers setting stock thresholds and understanding how the system triggers purchase or manufacturing orders to restock products.

  • Access Reordering Rules: From the Inventory module, navigate to Configuration -> Reordering Rules. Alternatively, you can access this directly from a specific product form by clicking the Reordering Rules smart button.
  • Create a New Rule: Click the New button to define a rule for a specific product. You will need to select the Location (e.g., WH/Stock) where the inventory should be monitored.
  • Define Min and Max Quantities: * Min Quantity: Set the “safety stock” level. When the forecasted stock falls below this number, Odoo triggers a replenishment.
    • Max Quantity: Set the target stock level. Odoo will calculate the exact amount needed to reach this number.
  • Select the Trigger Type: Choose between Manual or Auto.
    • Auto: Odoo automatically creates a Request for Quotation (RFQ) or Manufacturing Order as soon as the minimum is reached.
    • Manual: The system adds the product to the Replenishment Report for a manager to review and confirm before any orders are created.
  • Assign a Route: Ensure the product has a route defined (e.g., Buy or Manufacture). For the “Buy” route, make sure a Vendor is assigned in the product’s Purchase tab so Odoo knows where to send the order.
  • Process the Replenishment: If using the “Manual” trigger, navigate to Inventory -> Operations -> Replenishment. Review the suggested quantities and click Order Once or Automate to generate the necessary documents.
  • Monitor the Result: Once triggered, you can find the newly created draft orders in the Purchase or Manufacturing modules, ready for validation.
