How Email Integration Works for Negative Stock Alerts in Odoo Inventory

In Odoo, the Stock Negative Mail feature helps businesses manage inventory shortfalls by automatically notifying assigned users whenever negative stock is detected. The system generates a PDF report highlighting products with negative quantities and sends it directly to the relevant users. This ensures that inventory issues are identified and addressed quickly, helping maintain accurate stock levels.

Creating and Assigning Rules Stock Negative Mail Rules

To manage these notifications, start from the Inventory Dashboard. From there, go to Configuration, select Products, and then click on Stock Negative Mail Rules. This screen displays existing rules, including the rule name and the users assigned to receive notifications. Reviewing this information helps verify or update current records before sending any emails.

To create a new Stock Negative Mail Rule, click the +New button. The Name field is mandatory, if left empty, the system will prompt an alert. Once the name is entered, you can assign one or more users or employees who should receive the email notifications.

This ensures the right people are informed of negative inventory and can take action promptly. If a selected user does not have a work email set up, the system will display a warning to update their email address before proceeding. After entering all details, click Save to create the rule or Discard to cancel.

Using the Email Scheduler

Odoo also includes a built-in scheduler that automatically sends emails at specified times. To access it, go to Settings, navigate to Technical → Automation → Scheduled Actions, and select Stock Negative Email Notification.

The scheduler can run emails automatically based on the date and time set in the Next Execution Date field, or according to a recurring schedule specified in the Execution Every field. This ensures timely and consistent notifications without manual intervention.

Reviewing Received Stock Negative Emails

When users receive the email, they can open it from their inbox including a PDF attachment named STOCK NEGATIVE REPORT. The report header shows the title and the date it was sent, making it easy to identify.

Each product with negative stock is listed in a table format, showing the product code, name, lot number, and the negative quantity. This clear presentation helps users quickly identify inventory issues and take necessary actions to correct them.
