How to View the GRN Bill Details Report in Odoo
The GRN (Goods Receipt Note) Bill Details Report in Odoo helps track goods received from suppliers and match them with the related vendor bills. It ensures that the quantities ordered, received, and billed are accurate and aligned. A GRN is created when products arrive from a vendor and forms the base for verifying the vendor’s invoice
Understanding the GRN Bill Details Report
This report supports clear 3-way matching between the Purchase Order, Goods Receipt Note, and Vendor Bill. It shows the difference between received quantities and billed quantities, making it simple to identify issues such as shortages or over-billing. It also helps monitor vendor performance by showing delivery accuracy and billing consistency. Since the report is updated in real time, it supports smooth tracking of procurement and payment cycles.
To open the report, log in with a Purchase Manager role, go to the Invoicing module, select Reporting, choose Basic Reports, and then select GRN Bill Details Report from the available list.
Search, Filter, and Group Options
The Quick Search bar helps find specific records easily by typing details such as date ranges, vendor names, company names, or product names. The report also includes several filtering options that narrow down records based on invoices, credit notes, posted bills, drafts, cancelled bills, or specific bill dates. These filters help focus only on the required GRN-related billing information.
Grouping options allow arranging the report based on key fields. Data can be grouped by vendor to view all goods receipt bills for each supplier, by company for multi-company setups, by purchase order number to see all GRNs linked to an order, or by bill date to study billing patterns over different periods. Grouping makes the report easier to review and analyze.
Fields in the GRN Bill Details Report
Each record contains important fields used for verification. The Bill Date and Bill Number show when the invoice was issued and the reference number provided by the vendor. Bill Quantity displays the total quantity billed, while Received Quantity shows the actual quantity received. PO Number and PO Quantity link the record back to the purchase order.
Product Name, HSN Code, UOM, MRP, discount details, and tax information provide complete clarity on product pricing and tax classification. Fields such as taxable amount, total amount, payment status, company name, GR Bill reference, and overall status help in understanding value calculations, payment progress, and the current state of the transaction.
Views and Data Presentation
The List View displays all GRN bill entries in a table format showing fields like bill date, bill number, vendor, product details, order quantities, received quantities, taxes, discounts, total amounts, payment status, company, GR bill reference, and transaction status. This format helps scan and compare multiple records quickly.
The Pivot View provides an analytical summary by allowing grouping and aggregation of data. Fields such as vendor name, product name, or bill date can be arranged as rows or columns to calculate totals or averages for received quantities, taxable amounts, or total amounts. This view is useful for identifying purchase trends or tax impacts.
The Graph View presents the same information visually through bar charts, line graphs, or pie charts. It highlights patterns such as monthly purchases, vendor-wise bill distribution, or product-wise received quantities. Visual reports help management in reviewing performance and making procurement decisions.
Exporting GRN Bill Details
The GRN Bill Details Report can be exported in Excel or CSV format for offline use. Filters can be applied before exporting, and required fields can be selected. This makes it easier to share the information with other teams or use it in external analysis tools.
