How the Real time Inventory Works in Odoo POS

Managing inventory accurately is essential for any business using a Point of Sale system. Odoo POS offers a powerful real-time inventory feature that updates stock levels instantly with every transaction. This ensures you always maintain accurate data, avoid stock discrepancies and make better business decisions. It is especially helpful for businesses that rely heavily on precise stock tracking.

Enabling the Real-Time Inventory Management in Odoo POS

To activate real-time inventory management, start by navigating to the Point of Sale module from the Odoo Dashboard. Navigate to the Configuration menu and select Settings, under the Point of Sale section, choose the POS terminal you want to configure.

Then under the Inventory section, the option In real time should be enabled. This setting ensures that after every sale immediately updates the stock levels, keeping your data precise, though it may slightly affect system speed.

Processing an Order in POS

To begin, open the POS and add products to the POS Cart. There are three convenient ways to do this: by entering the product code manually, scanning a lot or serial barcode, or scanning any associated multi-barcode. Once the products are added, you can update the quantities as needed and assign the appropriate customer to the order.

For Example: If the customer – Naveen orders 3 PCS of a SHORT SIZE NOTE for the Lot : SHORT NOTE – 005 which has total On Hand Qty – 90 and 6 PCS of a CLOTH CLIPS which has total On Hand Qty: 20 .

Completing the Transaction

After reviewing the pricing details in the cart, click Payment Mode to proceed with the payment. Choose the appropriate payment method and once the customer completes the payment, click Validate to finalize the sale. This completes the order and triggers an immediate update to your inventory records.

Stock Update in Real Time

Open the Product Master in the Inventory module to confirm stock updates.

  • For products tracked by lot/serial number: The system decreases the on-hand quantity for the corresponding lot or serial number. At the same time, the product’s total on-hand quantity is also updated.
  • For products without tracking: The general on-hand quantity is reduced, reflecting the total sale without referencing a specific lot.

Continuing the earlier example, after selling 3 PCS of a SHORT SIZE NOTE for the Lot : SHORT NOTE –005 which is tracked by lot, the system automatically reduces the On Hand Quantity from 90 to 87 for that Lot, reflecting the exact deduction for that lot in real time.

Then for the product CLOTH CLIPS, which is not tracked by lot or serial number, selling 6 PCS reduces the general On Hand Quantity from 20 to 14.
