How Partial Payments Are Managed in iDempiere

Partial payments in iDempiere are handled through a controlled combination of payments and allocation, allowing businesses to settle invoices in stages without altering the original invoice amount.

Recording Partial Payments

A partial payment is first created in the payment and receipt window. The payment amount entered is less than the invoice total. At this point, the invoice remains unchanged and fully open.

The payment represents only the amount actually received or paid.

Applying Partial Payments

Partial settlement happens in the payment allocation form. The user selects the invoice and allocates only part of the payment amount to it. iDempiere automatically reduces the invoice open balance by the allocated amount.

The invoice status remains open until the full amount is allocated.

Tracking Remaining Balance

After allocation, iDempiere maintains:

  • Original invoice amount
  • Paid amount
  • Remaining open amount

These values are visible in the invoice, allocation records, and aging reports. There is no duplication or adjustment of invoice data.

Updating Accounting for Partial Payments

Cash or bank accounting is posted when the payment is completed. Allocation then updates accounts receivable or payable balances. The remaining balance stays open and continues to appear in financial and aging reports.

No additional journal entries are required.

Handling Multiple Partial Payments

iDempiere allows multiple payments to be allocated to the same invoice over time. Each allocation reduces the open amount until it reaches zero, at which point the invoice is marked as fully paid.

This is common in milestone-based or long-duration projects.

Maintaining Partial Payment Control

Every partial payment and allocation is recorded as a separate document. Reversals do not overwrite data but create traceable counter-documents. Period control and document status ensure compliance.

This design allows flexible payment handling while keeping invoices, accounting, and reporting accurate and auditable.
