How Business Partner Dimension Works in iDempiere

The Business Partner Dimension links accounting entries to the party involved in a transaction, such as a customer or vendor. It shows to whom each posting relates without creating separate GL accounts and works automatically by capturing the selected partner during document posting.

Creating Business Partner Dimension Values

Business Partner Dimension values are derived from Business Partners created in the system. Each customer or vendor becomes a usable dimension value once it is active.

When setting up business partners for dimension usage:

  • The Business Partner must be active
  • It must not be marked as summary
  • It should be assigned the correct customer / vendor role

Business partners can be organized into logical groups, but accounting postings always occur at the individual partner level.

Business Partner Hierarchy and Grouping

The Business Partner Dimension supports a hierarchical structure.

  • Parent nodes are used for grouping and reporting
  • Child nodes represent actual customers or vendors
  • Posting is allowed only on leaf-level partners

This structure allows reports to show balances and activity by individual partners or rolled up by partner group.

Business Partner Dimension During Transactions

Users do not manually select the Business Partner Dimension.

Instead:

  • The partner chosen on the document header drives the dimension
  • The system automatically assigns it during posting
  • No extra fields or actions are required from users

This applies to:

  • Sales Invoices
  • Purchase Invoices
  • Payments and Receipts
  • Credit and Debit Memos

Once the document is completed and posted, the business partner reference is locked in accounting.

Business Partner Dimension in Accounting Records

After posting, the Business Partner Dimension appears in Accounting Fact Details. Each accounting line clearly shows which customer or vendor it belongs to.

This enables:

  • Customer-wise revenue analysis
  • Vendor-wise expense tracking
  • Outstanding balance review
  • Clean audit trails

Historical entries remain accurate even if business partner details change later.

Accounting Schema and Dimension Posting (Applies to All Dimensions)

Accounting Dimensions in iDempiere only appear in accounting entries when they are enabled in the Accounting Schema. Creating a dimension and using it in transactions is not sufficient by itself. Each Accounting Schema has a dedicated Accounting Dimensions tab. This tab controls which dimensions are allowed to post values into accounting records. The schema acts as a gatekeeper between operational data and financial postings.

When a dimension is enabled in the Accounting Schema, iDempiere stores the selected dimension value during posting. The value becomes visible in Accounting Fact Details and can be used in financial reports, analysis, and audits.

When a dimension is not enabled, transactions still work normally. Documents can be completed, and business processes continue without error. However, the dimension value is ignored during posting, and accounting entries do not contain that dimension.

This design allows organizations to control accounting complexity. Dimensions can be introduced gradually, activated only when reporting or tracking is required, without changing operational workflows.

Key points to remember:

  • Dimensions must be enabled per Accounting Schema
  • Posting behavior depends on the schema used by the document
  • Existing transactions are not retroactively updated
  • Different schemas may enable different dimensions

Business Partner Dimension in Reporting

Reports rely heavily on the Business Partner Dimension to present meaningful financial views.

Common reporting examples include:

Because the dimension supports hierarchy, reports can summarize or drill down naturally.
