How to Configure and Use the Resource Type in iDempiere

A Resource Type defines how time- or service-based work is planned, scheduled, and billed in iDempiere. It enables assigning people or services to orders and schedules, translating real working hours into system-recognized, billable units for service-based businesses.

Core Configuration Behavior

The Resource Type record defines the rules of time and availability that all linked resources must follow. When a Sales Order line uses a resource-enabled product, iDempiere checks this configuration to decide how scheduling, validation, and pricing should work.

The most important setup decisions happen directly in the header of the Resource Type.

  • Search Key & Name identify the service category (for example, Consultant).
  • UOM defines how work is measured (commonly Hour for services).
  • Product Category links the resource to accounting and reporting rules.
  • Tax Category ensures correct tax calculation when the service is invoiced.
  • Active controls whether this resource type can be used in transactions.

This configuration ensures consistency: every consultant or service using this Resource Type behaves the same way across orders and schedules.

Time Slot and Availability Logic

Time-based control is where Resource Type becomes operational rather than just master data. Enabling Time Slot tells iDempiere that this resource must be booked against a calendar instead of being treated like a normal product.

Once Time Slot is enabled, the system enforces working hours and days:

  • Slot Start / Slot End defines daily working hours (for example, 9:00 AM to 6:00 PM).
  • Day Slot activates weekly scheduling.
  • Selected weekdays define when the resource is available.
  • Unselected days (such as Sunday) are treated as non-working days.

This logic is enforced automatically during scheduling. Users cannot accidentally assign work outside the allowed time window.

Transaction-Level Usage in Sales Orders

When a Sales Order line uses a resource-enabled product, iDempiere connects the order line to the Resource Type rules. Clicking the Resource Assignment or Schedule icon opens the scheduling calendar.

At this point:

  • The calendar shows only valid time slots based on the Resource Type.
  • The user selects an available date and time.
  • The system creates a Resource Assignment linked to the Sales Order line.
  • The assigned hours are used for delivery, invoicing, and reporting.

If Single Assignment Only is enabled, the system prevents overlapping bookings for the same resource, protecting availability and preventing double-booking.

Purpose and Practical Use Cases

Resource Type bridges the gap between sales, operations, and billing. It ensures that what is sold can actually be delivered within real-world constraints.

Common business scenarios include:

  • Consulting firms selling hourly services
  • Installation or maintenance appointments
  • Training sessions with fixed working hours
  • Professional services requiring advance scheduling

Because availability is system-controlled, managers gain visibility into workload, while sales teams avoid over-promising.

Operational and Business Outcomes

By correctly configuring Resource Types:

  • Service delivery becomes predictable and controlled
  • Scheduling conflicts are eliminated
  • Invoicing aligns exactly with delivered time
  • Resource utilization can be analyzed accurately

This setup transforms iDempiere from a product-only ERP into a service-capable operational system, where time, people, and revenue remain fully aligned.
