How to Configure a 1099 Box in iDempiere

The 1099 Box window defines the IRS reporting categories assigned to 1099 Vendors, with each record representing a specific box on a U.S. IRS Form 1099.

It is used once per reporting category, such as Nonemployee Compensation, contractors, and other 1099 vendors are classified consistently.

When a vendor is marked as a 1099 Vendor with a Default 1099 Box, the annual 1099 Extract process uses this configuration to group reportable payments correctly.

Business Rules

  • Name is mandatory on the 1099 Box record.
  • Bucket is mandatory and holds the numeric IRS box number used for reporting.
  • Search Key is optional but recommended for easier identification.
  • Active controls whether the record is available for selection on a vendor.
  • Multiple 1099 Boxes can be created to represent different IRS reporting categories.
  • A 1099 Box can be assigned as the Default 1099 Box on a Vendor Business Partner.
  • The 1099 Extract process references the assigned 1099 Box during report generation.

Configuration Steps

Step 1: Create the 1099 Box Record

Each record defines one IRS reporting category, so it must clearly identify both the category name and the corresponding box number before vendors can be assigned to it.

Create a new 1099 Box, enter the Search Key, Name, and Bucket, add a Description and Comment/Help, then confirm Active is checked and save.

Step 2: Verify the Record Is Available for Assignment

Confirming the record saved correctly avoids a missing category later, when a vendor or the year-end 1099 Extract needs it.

Reopen the 1099 Box record and confirm the Name, Bucket, and Active status are correct.

Expected Result

  • A new 1099 reporting category is available for assignment.
  • The record can be selected as the Default 1099 Box on a Vendor Business Partner.
